Driving HR Excellence:
A SuccessFactors Transformation

Industry: Mining Services
Timeline: 2023-2024
Service Areas: HR Systems Implementation, Process Optimisation
Location: Australia
Systems: SAP SuccessFactors
Scale: Enterprise-wide HR transformation

As a leading mining services contractor, Macmahon is committed to operational excellence and innovation. In 2023, they initiated a strategic HR transformation to remediate their SuccessFactors implementation, aiming to optimise their HR processes and enhance service delivery across the organisation.

  • Challenge

The client was grappling with a range of HR system and process inefficiencies that were hindering their operational effectiveness.

They required significant HR system optimisation, particularly around process redesign, to address unclear roles and responsibilities that were contributing to manual workarounds and inefficiencies. Improvements in system configuration were essential to streamline workflows and boost productivity.

Additionally, the client needed a robust knowledge transfer and capability-building program to empower their internal teams with the skills and understanding required to manage these optimised processes moving forward.

  • Solution

We partnered with the client to drive a comprehensive transformation, beginning with a Current State Review. This involved assessing existing processes and systems, identifying pain points, and engaging key stakeholders to understand their needs and challenges. We also conducted a thorough evaluation of the service delivery model and performed a technology system audit to pinpoint areas requiring optimisation.

For the System Redesign, we focused on enhancing SuccessFactors, simplifying processes, and upgrading their technology systems. We also revamped the service delivery model and provided clear role definitions to eliminate ambiguity.

To ensure long-term success, we conducted Process Optimisation, which included future state process mapping, developing a comprehensive process catalogue, reviewing master data, analysing reporting requirements, and planning the implementation of these improvements.

  • Outcome

Our efforts resulted in a remarkable 90% improvement in process efficiency, significantly reducing the time and effort spent on manual workarounds, which decreased by 85%.

We achieved 100% role clarity across the organisation, ensuring that responsibilities were clearly defined and aligned with the redesigned service delivery model.

The user adoption rate for the optimised systems and processes reached an impressive 95%, demonstrating the effectiveness of our change management and training initiatives.

This transformation not only solved immediate inefficiencies but also established a foundation for sustained operational success.

”Intuis brought a clear and organised approach to addressing our business pain points. Their holistic review and redesign of not just our technology, but our entire HR function has delivered sustainable improvements that continue to add value.”

The Journey

The transformation journey began with a comprehensive review of existing HR processes and systems. Our team took a holistic approach, ensuring the focus wasn't just on technology but across the broader HR function. This included a deep review and redesign of the entire HR service delivery model.

Moving into implementation, we focused on simplifying technology systems and delivering a streamlined tool that unlocked SuccessFactors' full capabilities. The team developed an advanced Process Catalogue containing clear and concise future state process maps designed to provide clarity of roles, tasks, and timeframes.

The final phase concentrated on embedding sustainable practices and planning for successful implementation. By providing detailed recommendations and building internal capabilities, we ensured the client could maintain and build upon the implemented changes independently.
